Privacy Policy
How we collect, use, and protect the information families share with us, in plain language.
Who we are
Pitch & Profile is a boutique college soccer recruiting service owned and operated by Gerald Roxas as a sole proprietorship in Irvine, California. We work with a small number of families at a time on personalized recruiting plans. You can reach us at admin@pitchandprofile.com.
What information we collect
To do recruiting work for your family we collect, with your consent, only what we need to do the work:
- Parent contact details: name, email, mobile phone number, and mailing address as needed for correspondence and service delivery.
- Player profile data: name, date of birth, club, high school, position, height, GPA, jersey number, NCAA Eligibility Center ID, and the academic and athletic preferences you share with us.
- Recruiting preferences: the list of target schools, conferences, academic majors, and geographic regions you and your child decide to pursue together.
- Performance media you provide: highlight reels, photos, schedules, and game footage links that you ask us to use in outreach.
- Outreach history: copies of outreach emails sent by your family, replies received from coaches, and notes from any in-person or phone conversations related to your recruiting timeline.
How we use it
We use the information you share only to deliver the recruiting services you have engaged us for. That includes:
- Building your child's recruiting profile, one-pager and target-school research.
- Maintaining your child's private recruiting tracker, one-pager, and family-facing web profile.
- Sending you email reminders about upcoming events, response activity, and showcase prep deadlines.
We do not use your information for any other purpose, and we do not sell or rent any information about your family to anyone.
How we share it
We share your information only in these limited cases:
- College coaches: your child's profile page, one-pager and film are shared with coaches your family chooses, and any email to a coach is sent by your family. They contain only what you have authorized.
- Service providers we use to operate the business: Google (Gmail), Netlify (for hosting your child's pages), Cloudflare (for storing and playing video) and Square (for payments). Each of these processes only the data necessary to perform its function and is bound by its own confidentiality and security obligations.
- When required by law: we will disclose information if compelled by valid legal process.
Visits to the pages we host
When someone opens a player page, a team page or a coach board we host, follows a link in one of our emails, or scans one of our printed QR codes, we record the page or link, the time, the type of browser, and the network address and country the visit came from. We use this only to tell the family or club the page belongs to how it is being used, for example which college programs looked at a player's page. A network address is used to recognize a college's own network and never appears in a report.
When a visitor tells us who they are, for example a college coach who asks for a shortlist or for access to our coach board, we keep the name, school and email address they give us, so we can send what they asked for and let the family know which program looked.
Team pages set one small first-party cookie so that a family's own visits can be told apart from everyone else's. A coach's private notes on a team page stay on the coach's own device and never reach us. We do not use advertising cookies or third-party trackers, and we do not sell or share visit information with anyone other than the family or club the page belongs to.
Children's information
Our services involve recruiting work for student-athletes, many of whom are under 18. We do not contract directly with minors. The contractual relationship is between Pitch & Profile and the parent or legal guardian, who is the recipient of all account communications. Personally identifiable information about a minor student-athlete is collected from and used only at the direction of that parent or guardian.
How long we keep it
We retain your family's recruiting data for as long as you are an active client plus a reasonable archival period (typically through your child's high school graduation) so we can answer questions and produce records if needed. You may request deletion of your information at any time by emailing admin@pitchandprofile.com.
Your choices
You have the right to:
- Access the information we hold about your family.
- Correct anything that is inaccurate.
- Ask us to delete information that is no longer needed for service delivery.
- End the service relationship in writing at any time.
Security
We protect information using standard administrative and technical safeguards including encrypted storage, access controls limited to Pitch & Profile's owner, and the security practices of the platform vendors named above. No system is perfectly secure, but we treat your family's data with the care we would want for our own.
Changes to this policy
If we make material changes to this policy we will update the "Last updated" date below and, if appropriate, notify active clients by email.
